Purpose of the report

1.       To present the Whau Local Board workshop agenda for 27 November 2024.

Executive summary

2.     Most workshops are open to the public to attend as observers in person.

3.       Some sessions may not be open to the public. The staff / chairperson and deputy chairperson decide which sessions are open to the public, depending on the sensitivity of the information being discussed. If a session is not open, a reason will be provided below.

4.       Local Board workshops provide an opportunity for local boards to carry out their governance role in the following areas:

a)   Accountability to the public

b)   Engagement

c)   Input to regional decision-making

d)   Keeping informed

e)   Local initiative / preparing for specific decisions

f)    Oversight and monitoring

g)   Setting direction / priorities / budget.

5.       Workshops do not have decision-making authority.

6.       Workshops are used to canvass issues, prepare local board members for upcoming decisions and to enable discussion between elected members and staff.

7.       Members are respectfully reminded of their Code of Conduct obligations with respect to conflicts of interest and confidentiality.

	CONFIDENTIAL Item 1 - Local Board Accommodation Update
	11.00am-11.30am This workshop is being held with the public excluded (confidential) as it may contain discussions of commercially sensitive information, to allow free and frank discussion. Presenter/s:                  Rod Aitken, Head of Corporate Property Alana McClintock, Senior Business Operations Lead Paul Pua, Business Operations Advisors Kristy Barry, Worksmart Change Manager Purpose:                       To provide an update on local board accommodation. Outcome:                      Local board members are provided information on accommodation plans and can provide feedback/questions. Governance role:      Keeping informed. CONFIDENTIAL Item 2 - Local Board Annual Planning workshop 5 - Local Consultation Content
11.20am-12.30pm This workshop is being held with the public excluded (confidential), to allow free and frank discussion. Attendance and any content will be made available as soon as possible after the workshop has been completed. Presenter/s:                  Antonina Georgetti, Local Board Advisor Caroline Teh, Senior Local Board Advisor David Rose, Lead Financial Advisor John Adams, Local Board Advisor Louisa Vaeluaga, Engagement Advisor Purpose:                       To finalise local consultation content for Annual Budget. Outcome:                      Finalise local consultation content. Governance role:          Setting direction, priorities and budgets.

Item 3 - Kaituhono Six-Monthly Report
1.15pm – 2.00pm Presenter/s:                  Moe Lewin (Kaituhono - Hoani Waititi Marae) Jason Paahi (General Manager - Hoani Waititi Marae) Pepe  Sapolu Reweti (Community Broker) Purpose:                       Six monthly progress report on the funding agreement for the Kaituhono position at Hoani Waititi Marae. A presentation and discussion of the progress made at Hoani Waititi Marae in response to the funding agreement signed by the three western local boards in August 2024. Outcome:                      This report is a requirement of the funding agreement reporting clause.  To inform elected members of progress made To clarify and advance points raised in the report. Governance role:          Keeping informed.
	Item 4 - Local Parks Volunteering and Programmes Update
	2.00pm – 2.15pm Presenter/s:                  Trish Kirkland-Smith, Volunteering and Programmes Manager Teresa Davenport, Community Park Ranger Purpose:                       To provide the Local Board with a strategic update on local parks ecological volunteering work and achievements, volunteer group aspirations and planning for 2025, and the delivery of Natural Environment Targeted Rate funded programmes that local volunteers, community groups and schools participate in.  Outcome:                      Increased awareness and knowledge of ecological volunteering, education and engagement initiatives associated with Local Parks (LDI and NETR funded), including the aspirations and future plans of local volunteering and community groups. Governance role:          Keeping informed.
	Item 5 - Whau River Catchment Trust Annual Report 2023-2024
	2.15pm – 2.45pm Presenter/s:                  Teresa Davenport, Community Park Ranger Gilbert Brakey, Whau River Catchment general manager Purpose:                       To demonstrate the impact and outcomes of the funded initiatives, ensuring transparency and accountability. It highlights how resources have been used effectively to achieve environmental and community goals. The report also strengthens the trust's case for continued or increased funding by showcasing the positive results and progress made. Outcome:                      For the Whau Local Board to have an understanding of how their efforts have led to a healthier ecosystem, increased public awareness, and active participation in kaitiakitanga. Governance role:          Keeping informed.
	Item 6 - Making Space for Water
	2.45pm – 3.15pm Presenter/s:                  Craig Mcilroy, General Manager Healthy Waters and Flood Resilience Tom Mansell, Head of Sustainable Outcomes Elizabeth Johnson, Principal Healthy Waters Strategic Programmes Taylor Farrell, Relationship Advisor Caroline Tauevihi, Recovery Specialist Tanya Stocks, Recovery Office Strategic Support Purpose / Outcome:      To update Whau local board about the Making Space for Water regional programme. Governance role:          Local initiative / preparing for specific decisions.
