Purpose of the report
1. To
seek approval for one meeting date to be added to the 2022-2025 Ōrākei Local Board meeting schedule to accommodate an
additional business meeting on Thursday, 5 June 2025.

2. The
Ōrākei Local Board adopted its 2022-2025 meeting schedule
during its Thursday, 24 November 2022 meeting (OR/2022/121).
3. The
local board is being asked to approve one meeting date as an addition to the
2022-2025 Ōrākei Local Board meeting schedule.

Recommendation/s
That the Ōrākei Local
Board:
a) whakaae
/ approve the addition of one additional business meeting date to the 2022-2025
Ōrākei Local Board meeting schedule as follows:
i) Thursday,
5 June 2025, 4.00pm, Ōrākei Local Board Office, 25 St Johns Road, Meadowbank,
Auckland.

Context
4. The
Local Government Act 2002 (LGA) and the Local Government Official Information
and Meetings Act 1987 (LGOIMA) have requirements regarding local board meeting
schedules.
5. In
summary, adopting a meeting schedule helps meet the requirements of:
· clause
19, Schedule 7 of the LGA on general provisions for meetings, which requires
the chief executive to give notice in writing to each local board member of the
time and place of meetings. Such notification may be provided by the
adoption of a schedule of business meetings.
· sections
46, 46(A) and 47 in Part 7 of the LGOIMA, which requires that meetings are
publicly notified, agendas and reports are available at least two working days
before a meeting and that local board meetings are open to the public.
6. The
Ōrākei Local Board adopted its 2022-2025 business meeting
schedule during its Thursday, 24 November 2022 meeting (OR/2022/121).
7. An
additional meeting is recommended to allow a report to come to the local board
for a decision regarding Auckland Cricket’s proposal to make use of part
of Colin Maiden Park.
8. The
timing of this additional meeting to intended to accommodate timelines for
staff advice and for Auckland Cricket to progress their proposal should the
local board agree.

Analysis and advice
9. The
local board has two choices:
i) Add
the meeting as an addition to the meeting schedule
or
ii) Add
the meeting as an extraordinary meeting.
10. For option
one, statutory requirements allow enough time for this meeting to be scheduled
as an addition to the meeting schedule and other topics may be considered as
per any other ordinary meeting.
11. For option
two, only one specific topic may be considered for which the meeting is being
held.
12. Since there
is enough time to meet statutory requirements, staff recommend option one,
approving this meeting as an addition to the meeting schedule, as it allows
more flexibility for the local board to consider a range of issues. This
requires a formal decision of the local board.

13. This decision
is procedural in nature and any climate impacts will be negligible. The
decision is unlikely to result in any identifiable changes to greenhouse gas
emissions. The effects of climate change will not impact the decision’s
implementation.

18. If the local
board decides not to add this business meeting to their schedule this may
adversely affect the completeness of staff advice and the timeline of Auckland
Cricket’s project.
